Service Administrator (Property Maintenance and Building Works) Location: West Tofts, Norfolk Salary: £14,500 per annum One year contract with possible view to extend/gain permanent position.
The Role: To provide administrative assistance in relation to the provision of Maintenance and Building Services in line with Company Policies and Procedures.
Summary of Duties: • To provide a full and effective administrative service, including meeting minutes and note taking, typing, photocopying, invoicing, document filing, stationery control and other associated administrative functions, e.g. assist in the preparation and distribution of Tender documentation packages to suppliers and contractors. • To develop, implement and maintain effective information storage retrieval systems, both paper based and electronic, helping to ensure that Project Team actions happen on time. • To raise Requests for Quotations to selected Suppliers and Contractors. • Assist with Tasking Orders and the contract variation processes where necessary, chasing suppliers and contractors as required. • To update and maintain company information databases and to produce reports as directed from these databases. • Assist with the processing of Work Orders and Purchase Orders updating with commitment, progress and expenditure as directed. • To develop and maintain effective working relationships with staff, managers, external contactors and other relevant bodies. • Undertake and discharge the individual responsibilities as set out in the Company Health and Safety manual.
Knowledge & Skills: • Ability to enter data accurately. • Good oral and written communication skills. • Ability to operate office equipment effectively. • Computer Literate, ability to use Microsoft Word and Excel to a high level, e.g. word processing and managing databases. • Effective administration skills including good telephone manner. • Able to devise, implement and maintain effective data storage and retrieval systems, which are both paper based and electronic. • Ability to prioritise tasks effectively. • Ability to develop computer software skills in line with the in-house systems used.
The Candidate: • Experience of working in a property services / construction office environment. • Team worker. • Able to deal with a diverse workload to tight deadlines. • Able to establish and maintain effective working relationships. • Able to deal with conflicting demands effectively. • Able to work under own initiative. • Able to attend meetings at regional sites with contractors (A pool car is available so own transport is not necessary).
